What are APEEF’s clubs

Our ambition

The APEEF Clubs Team aims to design and implement a leading program of:

  • 22 clubs after-school clubs adapted for each age group

  • 500 places offered every week

  • At least 2 clubs offered per day and per age group

  • More than 200 pupils with at least one club (out of 250 pupils in total)

  • 93% subscription rate in 2022 / 2023

  • 2 to 3 holiday camps 4 times a year

  • Finance clubs on a break-even basis

Our priorities

  • Ensure diversity and inclusiveness: sports, language, music and academic clubs on offer

  • Make sure that all clubs are vetted and safeguarding rules in place and signed-off by the school

  • Find locations close to the school as clubs operate on school premises or at a nearby venue.

  • Facilitate parents’ life so that parents just have to collect their children at the end of the club session and can rely on a club coordinator onsite for any queries

Clubs on offer

How we work

Parents are emailed a brochure with details of each offering and book their children’s clubs on an enrolment date in advance of each of the three school terms.

Bookings are done online via the platform SchoolsBuddy fees are paid upfront for each club. Fees cover the cost of the provider, assistants and venue hire; clubs are run at cost-price (not for profit).

To join the APEEF and access clubs, each family also contributes a £20 membership fee to APEEF once per academic year.

Operating rules and safeguarding

All the clubs providers and club teachers are properly vetted before they start working with APEEF. This includes notably:

  • For each club: signing a service agreement, providing liability insurance and a risk assessment.

  • For each teacher: providing proof of identity, DBS, right to work and acknowledged school and APEEF policies.

FAQs

  • APEEF is the Jacques Prevert Parents association. It is a charity registered under # 1147525, regulated by the Charity Commission for England and Wales and subject to the publication of an annual activity report. APEEF is run by volunteers parents from Jacques Prevert via the APEEF Trustees.   

    One of the main APEEF activities is to run the after-school clubs : around 20 clubs for all age groups ranging from Maternelles to CM2.

    As a charity, APEEF has a budget but remains a non-profit organisation. Parents supervising the organisation of the clubs are all unpaid volunteers.

    The APEEF resources are made of the registration fees paid by parents and the costs are constituted by the instructor’s fees, location costs, insurance cost “surveillants’ costs”s.etc…

  • The school runs Afterschool clubs 4 days a week as an alternative to the APEEF clubs. “Etudes Dirigées” so-called Homework Clubs run by the school, are bookable via SchoolsBuddy like other APEEF after-school clubs.

    APEEF and the school coordinate together, notably regarding on-site locations (as some clubs are run in the school’s premises), and the introduction of new clubs etc.

    Each APEEF club is run on a break-even basis.

  • Schoolsbuddy (https://apeef.schoolsbuddy.net/#!/) is the one-stop shop website for parents to register their children to most APEEF clubs.

    Amongst other things, SchoolsBuddy : 

    1) is used to enrol your children in clubs 

    2) provides useful information like the latest communications via dedicated inbox messages

    3) provides a diary view where you can see the upcoming sessions your children are registered to.In order to use SchoolsBuddy, you will need to create your profile and access the website through a login/password.

  • SchoolsBuddy is mostly used to enrol your children to clubs and run administrative tasks (presence list management, diary management, fees via the wallet function etc). SchoolsBuddy requires a login and password and therefore is a private site.

    apeef.org.uk is a central place to find qualitative information about APEEF activities in general and  clubs in particular. apeef.org.uk is a public website where no login / password is required.

  • A brochure is published and regularly updated to provide you with an overview of all clubs by age group. You will notably find a short club description, the day the club run, the location and the price by session. 

    From 2022, after the covid years, the effort will be focussed on offering at least 2 after school clubs for each age (from Maternelles to CM2) in order to offer more flexibility to parents and endeavour accommodating as many requests as possible.

  • Every term you will be able to either renew your current registration or register your child for new clubs open for their age group. In most cases, the registration will be managed via SchoolsBuddy on a first come first serve basis.  

    Please note that some clubs being very popular, they might be fully booked in a matter of minutes so please proceed as soon as the registrations are open to maximise your chances to enrol your child. 

    Kindly note that a registration is only complete when the payment has been processed. A confirmation email will be sent via SchoolsBuddy when the process is completed. 

    Renewals to clubs from a term to another have priority over new registrations to the same club. Therefore the registration window for renewal is usually one week before general registrations open. 

  • If a club is undersubscribed, it will be cancelled as the financial breakeven cannot be reached, and clubs cannot run at a loss (or a profit). 

    If a club is oversubscribed, then registrations are managed on a first-come, first serve basis viaSchoolsBuddy (https://apeef.schoolsbuddy.net/#!/).

  • Club Instructors : those are the people running the clubs every week who will be in contact with your children. Their contacts can be found on the brochure.

    Club organisers : volunteers parents handling the organisation of the after school clubs. Contacts : clubsjacquesprevert@gmail.com

    Surveillants or paid administrators : they make sure that the clubs are running in a safe environment, that the children are always supervised and can take part to some administrative tasks as well.

  • You would need to email the instructor directly. The contact will be provided to you upon registration and in the brochure.

    Please note that for safeguarding reasons a presence list for each club session is maintained via SchoolsBuddy so any absence should be reported to the club coordinator.

  • In case of heavy rain, the little ones can wait in their classroom with the instructor. Teachers won’t let the children in the rain. Generally speaking, when children finish at 15.15 and the clubs start at 15.45 or 16.00 children are taken care of at the school where they usually have their snack. The clubs’ instructors collect them and take them to the onsite classroom or offsite venues.   

  • Parents subscribe to an insurance through the school as part of the first term of school fees. This insurance, covers their children's participation to all future clubs for a school year. The insurance fee must be paid before the club starts. 

    Please note that the insurance for clubs is different that the one you would have subscribed for other school activities.

    You can also take the annual clubs survey and mention either your interest for new clubs or suggest some. The annual survey is run on schoolsbuddy and you will receive an email when it is open.   

  • Different elements below are to be considered : 

    1) Will there be enough children enrolled?

    A club will only run if there is a minimum number of children registered. 

    Parents are encouraged to provide as much feedback as possible, as early as possible, to the club organisers. Club organisers can be contacted directly or via the annual club survey where parents interests are gauged.

    2) Find an instructor to run the clubs

    The club organisers will be happy to be provided suggestions and contacts by parents or the school. 

    3) Find a location 

    Club organisers will always try to find a location as close as possible to the school, if not in the school itself. Considerations about location cost will also be given. 

    4) Safeguarding

    All club instructors will need to provide an up-to-date standard DBS (Disclosure and Barring Service) check.

    Children will be under an adult supervision at all times especially when they need to be taken from their classroom to an external venue.

    From 2022/2023 the aim of APEEF clubs organisers and the school is to have all clubs instructors sign a standardised contract and provide :

    DBS

    ID (copy of passport/ID card/driving licence)

    Proof of Address (bank statement or utility bill)

    Qualifications – coaching certificate etc

    Right to Work (if applicable)

    Reference 1 & 2

    Risk Assessment

    Level 1 Safeguarding Certificate

    Confirmation they have read the School Child Protection and Safeguarding Policy (available on website)

  • The prime source of information regarding the clubs will be the SchoolsBuddy website : https://apeef.schoolsbuddy.net/#!/

    Amongst other things you will find : 

    1) A calendar listing the clubs your children are registered to, the dates, times and location they are running

    2) The brochure providing an overview of all the clubs by class (from Moyenne Section to CM2)

    3) Dedicated messages sent to your mailbox  

  • At the moment this option is not possible so payment should be made by card using the SchoolsBuddy wallet.  

  • No. The clubs run within APEEF which is a charity (non profit organisation). However club costs need to be covered to reach a financial breakeven. This is being monitored all along the year by club organisers and  by the APEEF treasurer at the end of each year to make sure clubs operate at break-even.

    Cost of the clubs are comprised of : 

    1) Instructors costs

    2) Premises costs (school or external one)

    3) "Surveillants" when applicable e.g. to make sure that the children are taken safely from the school to the club location

    4) Transports when applicable e.g. buses for football
